We all know that “seeing is believing”, this is a basic truth in human communication, whether personal or business (we are here to talk about the latter). We see the person’s face, eyes, and mannerisms and our understanding is increased exponentially. We manage better, control more precisely, and solve problems quicker – which makes us an effective Outsourcing or Contracts Executive. But Outsourcing, Offshoring, and Remote Contracts do not lend themselves to person to person relationships. While seeing the production environment and meeting with and the other party(ies), your counterparts, is very often a necessity, such meetings demand costly and sometimes frequent travel. What is happening when we converse face to face? Sometimes, if we have challenges with a person’s intonation (maybe as a result of accent or dialect – not all English, for example, sounds the same!), seeing that person improves our understanding of the spoken word because we are aided by a range of visual clues. In project discussions, we hear the tiny nuances in the voice and we subconsciously test the sincerity of the words spoken. [These nuances arise from involuntary and subtle changes in our voice driven by our innermost emotions. When a person is not wholly truthful, emotionally the body tweaks the frequency of the sound in spoken word, hence giving rise to the "I hear what you say but I don't believe it" syndrome.] We achieve greater clarity and commitment when we are face to face.

In many businesses, overseas and remote communication and progress meetings see a heavy reliance being placed on inadequate audio and video communication. Audio conferences are a blunt tool, pretty much useless for understanding and confirming the intent of meaning (or lack of). Along with other failings, we do not hear what is really being said. The human ear receives sound in the range from 20 Hz to 20 KHz (16kH as we get older) and within this range the pitch, volume, and nuance of pauses creates a myriad of meaning. The telephone only transmits sound within the range 300 Hz to 3 kHz, which is the reason our voice typically sounds “flat” and a lot of subtle and important tones and nuance is lost. Sometimes, it is thought that the problem is easy to solve, our inexpensive VOIP audio call is supplemented by a (free / low cost) tiny video window. Now we can see and hear! Not a good solution – the voice is already devoid of meaning and, now too, is the image. Alternatively we can invest in some very expensive traditional Video Conferencing equipment and gather together in a room with a camera and screen, and see others in the same situation at the other end – staged, artificially, inflexible, and costly.
